Processing New Material

Books

  1. With black ink, stamp the campus address/property stamp on:
    1. Top, side, and bottom edges
    2. Front of the title page in an area that is clear of text
    3. Bottom of page 51 in an area that is clear of text
      1.  Small books, stamp page 21
      2. Unnumbered pages, stamp the middle page (estimated)
    4. Insert a security strip in the middle of the book’s pages or in the spine.
    5. Stick a Due Date slip on the inside (left) of the back cover.
    6. Place the call number label ¼ inch from the bottom of the spine. Center the call number on the spine. Do not trim the label.
      1. For items with a spine that is too thin to display the full call number, place the call number on the bottom left corner of the front cover leaving ¼ inch around the bottom and side.
    7. Cover the call number label with tape to indicate the collection -
      1. Circulating Collection: CLEAR tape
      2. Nursing/Allied Health Collection: PINK tape
      3. Children’s Book Collection: GREEN tape
    8. For hardcover books with a jacket, cover the jacket with PolyFit. Use thin book tape (not scotch tape) to secure the cover to the book.
    9. Place the item in the book sensitizer to activate the security strip.

DVDs and Disc Storage Cases

  1. With a black Sharpie, write SJR State on the disc in an area clear of text.
  2. Place the call number label ¼ inch from the bottom of the case’s spine. Center the call number on the spine of the case. Do not trim the label.
    1. For items with a spine that is too thin to display the full call number, place the call number on the bottom left corner of the front cover leaving ¼ inch around the bottom and side.
  3. Cover the call number label with tape -
    1. Feature films: CLEAR tape
    2. Documentaries: YELLOW tape (CLEAR tape in PAC)
    3. For PAC add A/V label to top of call number label.

How to create book jacket cover for books with removable dust jacket:

Remove dust jacket and match to correct book jacket cover size (10, 12 or 16).

Lay out dust jacket and cut cover to length.

Place dust jacket inside cover, fold bottom edge to fit snuggly, use tape to secure.

Trim any excess off left and right edges if necessary.

Fold book jacket cover back around book.

Secure top and bottom at front and back of book with short pieces of clear narrow book tape.

Decommissioning Weeded Material

Books

  1. With red ink, stamp WITHDRAWN over each property stamp on the item. Check these areas for a property stamp:
    1. Top, side, and bottom edges
    2. Front and back of the title page
    3. Interior page stamp – usually page 51. For smaller books, it may be on page 21. For books with no page numbers, please flip through to find the stamp.
  2. Remove Date Due Slip.
  3. Remove the call number label.
    1. If the label cannot be easily removed, X out the call number with a black Sharpie.
  4. Desensitize the item.

DVDs

  1. With a black Sharpie, cross out identifying marks (SJRCC, SJR State, etc.).
  2. With a red Sharpie, write WITHDRAWN somewhere on the item that will not interfere with its use.
  3. Remove the call number label.
    1. If the label cannot be easily removed, X out the call number with a black Sharpie.
